Owlmate Terms and Conditions
Effective date: 24 September 2026
These Terms and Conditions govern access to and use of Owlmate, operated by Pusat Tuisyen Sayang Oh Sayang. By activating or using an account, you agree to these terms. If you are a parent or guardian, you use Owlmate in connection with a student enrolled at the centre.
1. What Owlmate provides
Owlmate helps authorised users view or manage student information, including attendance, homework and learning tasks, teacher remarks, and pickup notifications. Available functions may differ by account role and may change over time.
Owlmate supports communication and record keeping at the centre. For urgent matters involving a child's safety or immediate pickup arrangements, contact the centre directly by telephone.
2. Accounts
Account invitations are intended only for their named recipients. You must provide accurate information, set a secure password and keep your login details confidential. Do not share your account with another person.
You are responsible for activity carried out through your account unless you have reported suspected unauthorised access to us. Tell us promptly if your email address changes, you lose access to your account, or you believe someone else has used it.
We may verify your identity and relationship to a student before linking an account or changing its access.
3. Appropriate use
You agree to use Owlmate only for legitimate purposes connected with the student and the centre. You must not:
- access or attempt to access another student's or family's information without authorisation;
- upload false, unlawful or harmful content;
- interfere with the security or operation of Owlmate;
- share another person's personal information obtained through Owlmate without a proper reason or permission; or
- use automated tools to extract platform information without our written approval.
Staff users must follow the centre's internal instructions on student records, confidentiality and account access.
4. Student records and communications
Teachers and staff enter records as part of the centre's day to day operations. Please contact the centre if you believe a record is incomplete or incorrect. A homework entry, remark or attendance display may be updated after it first appears.
A pickup notification tells the centre that a parent or guardian intends to collect a student or has arrived, according to the function provided. It does not by itself authorise the release of a student to an unapproved person. The centre's identity checks and pickup procedures still apply.
5. Availability and changes
We aim to keep Owlmate available, but access may occasionally be interrupted by maintenance, technical issues or circumstances outside our reasonable control. We may update features or suspend access when needed to maintain security, correct an issue or operate the service.
If Owlmate is unavailable, parents and guardians should use the centre's usual contact method for time sensitive matters.
6. Privacy
Our Owlmate Privacy Policy explains how we handle personal data. By using Owlmate, you acknowledge that policy. Any separate consent requested for an optional purpose will be handled separately.
7. Content and intellectual property
Owlmate's software, design and platform materials belong to Pusat Tuisyen Sayang Oh Sayang. We give authorised users a limited right to use the platform for its intended purpose while their access remains active.
Student work and information provided by users remain subject to their respective rights. You allow us to store, display and process material submitted to Owlmate as needed to provide the centre's services.
8. Suspension and end of access
We may suspend or remove an account if it is compromised, used in breach of these terms, linked to a student who is no longer enrolled, or no longer authorised to access a student's records. You may ask the centre to review your account access or close your account.
Ending access does not automatically delete records that the centre needs to retain. Our Privacy Policy explains how retention and data requests are handled.
9. Responsibility
Please check important information with the centre when necessary, particularly where a record affects a student's immediate care or collection. To the extent permitted by applicable law, we are responsible for losses arising from Owlmate only where they result from our failure to meet an applicable legal obligation or these terms. Nothing in these terms removes rights or remedies that cannot lawfully be excluded.
10. Changes to these terms
We may update these terms when the platform or centre procedures change. We will post the revised terms with a new effective date and give additional notice for material changes where appropriate. Continued use after the revised terms take effect means you accept them.
11. Governing law and contact
These terms are governed by the laws of Malaysia. For questions or concerns, contact:
